1. Policy Overview
At Spotel.ai, we are committed to providing high-quality AI training programs. This Cancellation and Refund Policy outlines the terms and conditions for cancellations, refunds, and course modifications. By enrolling in our courses, you agree to the terms outlined below.
Important Note
This policy applies to all Spotel.ai courses, workshops, and training programs. Different terms may apply to corporate training and custom programs, which will be specified in separate agreements.
2. Refund Eligibility Criteria
Full Refund (100%)
You are eligible for a full refund if you meet ALL of the following conditions:
- Request cancellation within 24 hours of course enrollment
- Have not accessed any course materials or attended any live sessions
- Have not downloaded any course resources or certificates
- Course has not yet started (applicable for scheduled workshops/live classes)
Partial Refund (50%)
You may be eligible for a partial refund if:
- Request cancellation within 7 days of course enrollment
- Have accessed less than 25% of the course content
- Technical issues on our platform prevent course completion (verified by our technical team)
- Course is canceled by Spotel.ai due to unforeseen circumstances
No Refund
Refunds will not be provided in the following situations:
- Cancellation request made after 7 days of enrollment
- More than 25% of course content has been accessed
- Completion certificate has been issued
- Live workshop sessions have been attended
- Course materials have been downloaded or shared
- Violation of our terms of service or code of conduct
3. Live Workshops & Scheduled Classes
Cancellation by Student
- 48+ hours before start: Full refund (minus processing fees)
- 24-48 hours before start: 75% refund
- Less than 24 hours: 25% refund
- After workshop starts: No refund
Cancellation by Spotel.ai
If we need to cancel or reschedule a workshop:
- Full refund will be provided immediately
- Alternative workshop dates will be offered
- Course credits valid for 1 year will be provided
- Priority enrollment in future workshops
Make-up Sessions
If you miss a live session, we provide recorded sessions for most workshops. However, interactive elements and live Q&A cannot be replicated, so attendance is strongly recommended.
4. Refund Process
How to Request a Refund
- Send an email to refunds@spotel.ai with your request
- Include your order number, enrolled course name, and reason for cancellation
- Provide any supporting documentation (if applicable)
- Our team will review your request within 2-3 business days
- You will receive an email confirmation of the refund decision
Required Information
Please include the following in your refund request:
- Full name as registered
- Email address used for enrollment
- Order/Transaction ID
- Course name and enrollment date
- Detailed reason for cancellation
- Phone number for contact
Processing Time
- Review Period: 2-3 business days
- Approved Refunds: 5-7 business days to process
- Bank Transfer: 7-10 business days to reflect in your account
- Credit Card Refunds: 10-15 business days depending on your bank
5. Special Circumstances
Medical or Emergency Situations
We understand that unexpected situations may arise. In case of:
- Medical emergencies (requires medical documentation)
- Family emergencies or bereavement
- Natural disasters or force majeure events
- Military deployment or relocation
We will review such cases individually and may offer course credits, transfers, or partial refunds on a case-by-case basis.
Technical Issues
If you experience technical difficulties accessing the course:
- Contact our technical support team immediately
- We will work to resolve issues within 24-48 hours
- Extended technical problems may qualify for refunds
- Alternative access methods will be provided when possible
6. Course Modifications and Updates
Content Changes
Spotel.ai reserves the right to modify course content, structure, or delivery methods to improve the learning experience. Such changes do not qualify for refunds unless they significantly alter the core value proposition of the course.
Schedule Changes
- Minor schedule adjustments (within same week): No refund eligibility
- Major schedule changes: Students may request transfer or refund
- Advance notice will be provided whenever possible
Instructor Changes
While we strive to maintain consistency, instructor changes may occur due to availability or other factors. Such changes do not automatically qualify for refunds unless the replacement significantly impacts course quality.
7. Payment Gateway and Processing Fees
Transaction Fees
Payment gateway fees charged by third-party processors (Cashfree, Razorpay, etc.) are non-refundable. These fees typically range from 2-3% of the transaction amount.
Currency Conversion
For international payments, currency conversion rates may vary between payment and refund dates. Any differences in exchange rates are the responsibility of the student.
Refund Method
- Refunds will be processed to the original payment method
- Bank transfers may be offered for faster processing in some cases
- Refunds cannot be processed to different accounts or methods
8. Course Transfers and Credits
Course Transfers
As an alternative to refunds, you may transfer your enrollment:
- To another person (one-time transfer allowed)
- To a future batch of the same course (subject to availability)
- To a different course of equal or lesser value
- Transfer requests must be made at least 48 hours before course start
Course Credits
In certain situations, we may offer course credits instead of cash refunds:
- Credits are valid for 12 months from issue date
- Can be used for any Spotel.ai course or workshop
- Credits cannot be transferred or exchanged for cash
- Unused credits expire after the validity period
9. Corporate and Group Bookings
Corporate Training
Corporate training programs have separate terms and conditions:
- Cancellation terms are specified in the corporate agreement
- Minimum participant requirements may apply
- Customized refund policies based on program scope
Group Discounts
Group bookings (5+ participants) may have modified cancellation terms. These will be clearly communicated at the time of booking and may include reduced refund percentages or extended cancellation deadlines.
10. Dispute Resolution
Internal Resolution
If you disagree with a refund decision:

- Provide additional information or documentation
- Request escalation to management if needed
- Final decisions will be communicated within 5 business days
External Dispute Resolution
